Five bookkeeping habits that quietly cut your accountancy bill
Messy books cost you twice: once in your own evenings, and again in your accountant's time — which you pay for. The businesses with the lowest fees and the fastest year-ends aren't the smallest ones; they're the tidiest. Five habits, none of which takes ten minutes a week.
1. One account for business, full stop
Every business transaction through one business account; nothing personal through it. This single habit does more than everything else combined — it turns bookkeeping from detective work ("what was that £43 at Tesco?") into sorting. Sole traders aren't legally required to separate, but the year-end cost of mixed banking is real and entirely avoidable.
2. Capture the receipt at the moment of spend
The receipts that go missing are never the big ones — they're the parking, the materials, the working lunch on a site visit. Photograph them the moment they exist: with DEXT, a photo takes three seconds and the data lands in Xero categorised. Lost receipts are lost deductions; this habit is literally money.
3. Reconcile weekly, not annually
Ten minutes a week matching the bank feed in Xero keeps you honest and current. Things you'd never remember in January take one glance in the same week. And once reconciliation is current, every report in the system is true — which is what makes management accounts and cashflow forecasts possible at all.
4. Invoice the day the work is done
Half of "bookkeeping" problems are really invoicing problems. Invoice immediately, with payment terms stated, and let the software chase: automatic reminders recover money you'd feel awkward asking for twice. Your debtor list should be something you look at weekly, not discover at year-end.
5. Keep a tax pot and fund it on payday
Move a fixed percentage into a separate pot every time you pay yourself or land a job. Whether you're a sole trader saving for self assessment or a company putting by for VAT and corporation tax, tax money that's already segregated can't be accidentally spent — and January stops being an event.
